To gain access to a dataset you don't have access to yet, select "Collection registry" in the top menu bar.

At the top of the Collection Registry, you see a search bar and filter options to help you explore the datasets on iCANDID and/or find a specific one you are looking for.

The Collection Registry has two columns: "Name" and "Labels". These give you an idea of the contents of the dataset.

To the left of these columns are two icons; an arrow and a lock. A green lock indicates you have access to this dataset. A red lock means you don't have access. The arrow can be used to see more information about the dataset and to request access to it.



Clicking the arrow shows the following information:

  • Description: a short description of the dataset
  • Provider: the entity providing the data to iCANDID
  • Languages: the language(s) used in the dataset. This may not be a complete list
  • Period: the period in which the data was originally published. Collectons with a start date but no end date are continuously harvested and updated
  • Searchquery: the query used to collect data from the data provider. This allows you to ascertain the scope of the dataset
  • License: licensing information on how you can re-use the data in your research activities. While the EU text and data mining directive allows you to used copyrighted data for your research, you're not allowed to publish the original data files on the Web. Consult the terms of use of iCANDID and the original provider terms for more information
  • Size: the amount of records in the dataset, including the date when this amount was last counted
After clicking the arrow, you will see either of two options at the bottom right of the opened information field depending on whether you have access or not.
  • If you have access: 'You have access to this collection'
  • If you don't: a clickable box with 'Request access' next to it.

You can select the "Request access" box for several datasets or just one. Having done so, you need to validate the selection by clicking the "Request access" button at the top or bottom right of your screen.

This leads you to a new screen that contains four fields, three of which are prefilled with your account information and the datasets you selected. The bottom field 'Motivation for the request' is important to fill out. Due to agreements with and limitations defined by the data providers, we need a motivation for why you need access to the dataset so as not to violate those agreements and limitations. A short outline of your research and how the datasets fit into it should be enough to gain access if the limitations set by the data providers allow it.

Don't forget to click on 'Send the request'. You will be given access or will hear from us within 10 working days (can be longer during holiday periods). In case you receive no access or response, you can contact the helpdesk 'icandid[at]kuleuven[dot]be' for more information.
